Technology plays a role in nearly every part of property management. Teams use computers, servers, cloud applications, networks, and shared files to process payments, communicate with residents and owners, manage financial records, coordinate maintenance, and keep day-to-day operations moving.
So what happens when that technology suddenly isn’t available?
A cyberattack, hardware failure, severe weather event, accidental deletion, or unexpected outage can quickly disrupt normal operations. While it’s important to prevent these problems whenever possible, no organization can eliminate every possible risk. That’s why it’s just as important to have a plan for what happens after something goes wrong.
A strong backup and disaster recovery strategy can help protect critical information, minimize downtime, and give your team a clear path back to normal operations.
Although they’re often discussed together, backup and disaster recovery serve different purposes.
Backup is the process of creating copies of important data so it can be restored if the original files are lost, corrupted, deleted, or compromised.
Disaster recovery goes a step further. It’s the plan for restoring technology and business operations after a disruptive event. It considers not only whether your data exists somewhere else, but also how your organization will access it, which systems need to be restored first, who is responsible for recovery, and how quickly operations can resume.
Both are important because having a backup doesn’t automatically mean your organization can recover quickly.
When people think about IT disasters, they may picture a major cyberattack, fire, or hurricane. But data loss and downtime can also come from much more ordinary situations.
Here are a few scenarios property management companies may encounter and how the right backup and disaster recovery strategy can help.
An employee receives an email that appears to come from a trusted vendor. They open a malicious attachment, unknowingly installing ransomware onto the company’s network.
Suddenly, employees can’t access important files and applications. Accounting work may come to a stop, maintenance teams may have trouble accessing information, and other day-to-day operations can quickly be affected. Without reliable backups, recovering from an attack can be much more difficult—and could mean losing important data.

This is where two important concepts come into play: Recovery Time Objective (RTO) and Recovery Point Objective (RPO).
RTO is the maximum amount of time a system or business process can be unavailable after an incident. RPO is the maximum amount of data loss that’s acceptable, measured in time.
For example, losing access to an archived file repository for several hours may not have much of an impact on your business. Losing access to a system employees use throughout the workday could require a much faster recovery.
Not every data-loss event is malicious. An employee may accidentally delete a folder containing important documents, overwrite a file, or remove information they thought was no longer needed. Sometimes the mistake isn’t discovered until days or even weeks later.
Without a backup history, recovering that information can be difficult.
How to Prepare:
Use automated, versioned backups that allow you to restore information from an earlier point in time. Organizations should also establish appropriate access controls so employees only have the permissions they need to do their jobs.
And don’t assume that because your backup system is running, everything is fine. Regular testing can help confirm that the information you need is actually recoverable.
A major storm causes a prolonged power outage, damages your office, or prevents employees from safely getting to the building.
The technology itself may be fine, but your employees may still be unable to access the systems and information they need to work.
For a property management company, that can create problems quickly. Residents still need assistance, maintenance requests still need to be handled, owners still expect communication, and employees still need to access the systems they use every day.
How to Prepare:
Disaster recovery planning should account for both technology failures and physical disruptions.
Organizations should determine which employees need remote access, how critical systems will remain available, where backups are stored, and how employees will communicate if the primary office or network becomes unavailable.
Cloud-based infrastructure and geographically separate backups can also reduce dependence on a single physical location.
This may be one of the most overlooked disaster recovery scenarios:
Imagine experiencing a server failure and turning to your backups, only to discover that the backup process stopped working months ago, important files weren’t included, or the data can’t be restored properly.
Simply seeing a “backup complete” notification isn’t enough.
How to Prepare:
Backups should be monitored, maintained, and tested regularly. Periodic recovery exercises can help confirm that data is intact and your team knows what to do if something goes wrong.
Testing can also uncover problems before there’s an emergency, such as missing files, outdated procedures, incorrect permissions, or recovery times that are longer than expected.
Every organization’s technology environment is different, so there’s no one-size-fits-all backup and disaster recovery plan. But there are a few questions every property management company should be able to answer:
Your backup and disaster recovery strategy shouldn’t be a “set it and forget it” project. As organizations grow, add employees, adopt new technology, and change how they operate, their recovery strategy should evolve with them.
